Policy for Children at CHFA NOW
At CHFA NOW, we are committed to providing a safe, professional, and enjoyable business environment for all exhibitors, attendees, partners, and staff. As CHFA NOW is a professional trade event and includes areas where alcohol is served as part of Celebration Stations and networking activities, the following policy applies to all children and minors attending the event.
CHFA encourages a healthy work/life balance, and children under the age of 18 are welcome to attend the show when accompanied and supervised by a responsible adult at all times.
Children ages 2 and older require a registered child pass and are subject to a $30 CAD registration fee.
Babies and infants “in arms” are admitted free of charge.
Formal proof of age is not required; complimentary admission is intended for babies and infants.
All registered children will receive a wristband that must be worn at all times while onsite.
Parents, guardians, or accompanying adults are fully responsible for the safety, supervision, and conduct of children attending the event.
Children may not be left unattended at any time on the show floor, in conference areas, or at networking events.
Children must ask permission before taking samples or items from exhibitor booths or sampling tables.
CHFA NOW does not provide childcare services, play areas, or designated children’s programming.
Infants and children under the age of 16 are not permitted within conference sessions.
CHFA reserves the right to restrict access to conference programming or special event areas where appropriate.
Strollers are permitted for infants and babies.
Wagons, pull carts, and oversized child carriers are not permitted on the show floor due to safety, crowd flow, and accessibility considerations.
CHFA reserves the right to limit stroller access on the trade show floor during peak attendance times if necessary for safety and crowd management.
CHFA NOW is a professional business event where alcohol may be served throughout the venue, including Celebration Stations, receptions, and networking functions.
Parents and guardians acknowledge and accept responsibility for minors attending in these environments.
Certain networking or hospitality events may be restricted to attendees of legal drinking age in accordance with provincial regulations and venue policies.
Dedicated family/universal rooms are available onsite for nursing, feeding, and changing children.
At Enercare Centre, these rooms are located on the show floor and near Entrance Hall C.
At the Automotive Building, family/universal rooms are located on the main floor.
The trade show floor is an active business environment that includes heavy equipment movement during move-in and move-out periods, product sampling, large crowds, and exhibitor installations.
By bringing a child onsite, parents or guardians acknowledge these risks and assume full responsibility and liability for the child’s safety and behaviour.
CHFA NOW, its organizers, venue partners, contractors, and affiliates are not liable for injuries, incidents, lost items, or damages involving children onsite.
CHFA NOW reserves the right to deny entry or remove any attendee, including children and accompanying adults, who fail to comply with this policy.
Event staff and security may request compliance with wristband policies or other safety procedures at any time.
Luggage
- No trolleys or luggage are allowed inside the exhibition hall.
Conduct & Business Activity
- Soliciting by participants during the trade show is prohibited. Our exhibiting brands are here to meet with retailers and buyers. If you are not a retailer and wish to meet potential clients, we encourage you to use our dedicated meeting spaces to build new business relationships, such as networking breaks during conferences, CHFA Social Gatherings, and the CHFA Members’ Lounge on-site.
- Please ask before taking a sample. Not all displayed products are samples.
Photography and Video Recording
CHFA reserves the right to photograph and film the event for its archives and for advertising and promotional purposes. As part of their participation in the CHFA trade show and conferences, participants and exhibitors hereby grant perpetual permission to reproduce, copy, publish, or otherwise use their image and voice as captured during the event, or any material based on or derived therefrom, in electronic or printed media, or to refrain from doing so, in whole or in part, worldwide.
Media personnel may photograph and film only if they are wearing the badge issued to the media and with the permission of the people being photographed or filmed.
Participants are encouraged to photograph highlights of their participation in CHFA events and share their experience on social media. However, filming during CHFA events is not permitted.
Event Refund Policy
Registration for the event is non-refundable once approved or, for pending registrations, less than 21 days before the start of the conferences and trade show. After submitting your registration, your information will be verified by CHFA. You will receive official confirmation after your registration is approved (and for non-members, after verification of your industry activity). CHFA reserves the right to restrict entry to the trade show and conferences. Anyone asked to leave the trade show or conferences must do so immediately, even if they were previously issued a badge granting them access.
Conference fees will be refunded, less a $50 administration fee, when cancellation is received in writing 21 days prior to the start of the conference and trade show. Send your cancellation notice to events@chfa.ca. Payments for reservations cancelled after this date will not be refunded.
Harassment and Discrimination
We are committed to providing a safe space for all attendees. Harassment and discrimination of any kind will not be tolerated at any CHFA events and will result in immediate removal from the show floor and a permanent ban from all future CHFA events. We encourage anyone who experiences or witnesses any acts of harassment or discrimination to report it to the CHFA Member Kiosk or CHFA Lounge on the show floor.
Privacy Policy
Beware of fraudulent solicitations
You may be receiving fraudulent enquiries from companies claiming to be working on behalf of or with CHFA. They include offers for everything from hotel accommodation, to attendee lists, to booth sales. This activity has grown in recent years and we advise everyone to be careful when engaging with companies who are not affiliated with CHFA. All of our official show service providers are noted on our website. We never make our attendance lists available to third party companies. We do not engage third party companies to sell booth space on our behalf. Hotels in the show block can be booked directly through our website.
We have tried many times over the years to stop this activity. Unfortunately, these companies often do not originate in Canada and do not adhere to Canadian law when it comes to spamming. If you would report this activity to the The Spam Reporting Centre at spam@fightspam.gc.ca, it may help to curb this activity in future.
The Spam Reporting Centre gathers intelligence to support the enforcement of Canada’s Anti-Spam Legislation (CASL). If you are concerned about an activity that you believe may be in violation of CASL, you can bring it to the attention of the three government agencies responsible for enforcing CASL (the Canadian Radio-television and Telecommunications Commission, the Competition Bureau and the Office of the Privacy Commissioner of Canada) by making a submission to the Spam Reporting Centre.
